Please check the details carefully. The Wade Conference Centre cannot be held responsible for errors in bookings that are not drawn to our attention immediately upon receipt of a booking form. If your requirements change, please let us know as soon as possible. Whilst we cannot guarantee that we will be able to accommodate all changes, our staff will do their utmost to help.

Conference rooms are available for hire between 8:00 am and 10:30 pm, Monday to Friday (Saturday & Sunday opening on request).

Unless agreed otherwise all invoices for room bookings and equipment hire MUST be settled within 30 working days of the invoice date. An invoice can be issued on the day of the meeting if required.

Pharmaceutical companies holding meetings at the Wade Conference Centre will be charged the applicable room tariff only. Pharmaceutical Companies sponsoring meetings and requiring an exhibition stand for advertising in any way will be charged £55.00 + VAT facilities fee.

Wade Conference Centre reserves the right to recover the cost of any special arrangements that are needed for cleaning, damage or repair after a meeting.

There is a £15.00 surcharge on room hire for weekend bookings.

Audio-Visual Equipment

Audio-visual equipment can be supplied by the Wade Conference Centre. However, if the client would prefer to bring their own an administration charge will apply of £5.00. Please note we do not provide the hire of laptops.

If alterations to room set-up are made during the meeting users are kindly asked to return the furniture to its original position. Failure to do so could result in the Wade Conference Centre levying additional charges to the user.

The Wade Conference Centre cannot be held responsible for personal property of guests within the centre.

The Wade Conference Centre cannot be held responsible for theft or damage to cars whilst parked on the car park.

All guests should make themselves aware of the Fire Regulations. Please ensure that appropriate Fire Notices (found in the rooms) are read out prior to the commencement of your meeting. Please enquire at reception for any fire alarm tests that may be due.

To comply with Fire Regulations numbers must not exceed the number stated for the occupancy of the hired room. All gangways must be kept clear throughout the meeting. It is the meeting organisers responsibility to ensure all of their visitors sign in with them so that a role call can be taken at the fire assembly points in the event of hearing a fire alarm.

All fire doors to be kept closed at all times.

Audio-Visual Equipment

Only catering purchased at the Conference Centre is allowed on the premises. All catering can be booked with our events team. Your catering may be invoiced separately. Cancellation charges will apply to any meetings cancelled please see below:

Refreshments Cancelled within 7 days of your event NO CHARGE

Refreshments Cancelled within 3 days of your event 50% CHARGE

Refreshments Cancelled 2 days or less of your event 100% CHARGE

NONE ARRIVAL ON DAY OF MEETING 100% CHARGE

Cancellation Policy

We appreciate at times that meetings have to be cancelled for a variety of reasons. If you reschedule your meeting within a three month period from the date of the original meeting a cancellation fee will be charged. This will then be credited against the rescheduled date.

Normal cancellation terms:

Meetings cancelled 3 months prior to the scheduled date: NO CHARGE
Meetings cancelled between 2 & 3 months prior to the scheduled date: 50% CHARGE
Meetings cancelled between 1 & 2 months prior to the scheduled date: 75% CHARGE
Meetings cancelled between less than 4 weeks prior to date: 100% CHARGE
Non-arrival on day of meeting: 100% CHARGE
